Refund & Cancellation Policy
We keep this simple: try before you pay, cancel whenever you like, and never lose your data over billing.
1. Free trial
Every new practice starts with a free trial of the full product — no payment details required. If you decide not to subscribe, you owe nothing; your account simply continues on the entry-level plan's limits and none of your data is deleted.
2. Cancelling a subscription
- You may cancel at any time — in the app via the Support tab, or by emailing info@practi-cal.co.za. No notice period, no cancellation fee.
- Cancellation takes effect at the end of the current paid month. You keep full access until then.
- Because subscriptions are billed monthly in advance for an ongoing service, we do not refund the unused part of a month, except where required by law.
- Downgrades to a cheaper plan take effect at your next billing date; upgrades take effect immediately.
3. Message top-ups (SMS and WhatsApp bundles)
- Prepaid message bundles are consumed as messages are sent and are non-refundable once purchased.
- Unused credits do not expire while your account remains active, and survive plan changes.
- Credits are forfeited only when an account is terminated (by you or for breach).
4. Billing errors and duplicate payments
Charged twice, charged after cancelling, or charged the wrong amount? Tell us at info@practi-cal.co.za and we will refund the erroneous amount in full, to the original payment method, within 10 business days of confirming the error.
5. Your data after cancellation
- You can export your data (patients, invoices, reports) from within the Service at any time — including during the trial and after downgrade.
- If you close your account entirely, your data is retained for 60 days (during which you may reactivate or request an export) and then permanently deleted, subject to any legal retention duty.
- Remember that healthcare records are subject to statutory retention periods — export your records before closing your account.
6. Consumer Protection Act
Nothing in this policy limits any right you have under the Consumer Protection Act 68 of 2008 where it applies to your practice. Where the CPA grants a cancellation or refund right that differs from this policy, the CPA prevails.
