Built in South Africa, for SA practices

Shift your focus to
where it matters most.

Built for South African physiotherapists and biokineticists. Practi-Cal carries the scheduling, the WhatsApp, the SA-tariff billing and the rehab prescription — so the hour you spend with a patient goes to the patient, and not to the paperwork afterwards.

A Tuesday07:15 → 17:30

What Practi-Cal does while you're with a patient.

Six things happen on an ordinary day without anyone at the front desk touching them. This is the whole product, in the order you meet it.

07:15
Your diary is already on your phone
Subscribe your diary into Apple, Google or Outlook and it appears there. First names only — no surnames or clinical detail leave for a personal calendar.
08:00
Tomorrow's reminders go out
WhatsApp reminders send on an approved template. Patients tap Confirm or Cancel, and the diary updates itself.
09:20
A cancellation refills
The freed slot is matched against your waitlist and ranked — same therapist and date first. One tap offers it.
11:45
The session bills itself
Marking a session complete raises the invoice on the right tariff, with the ICD-10 codes and the treating practitioner already on it.
11:46
The patient can pay from their phone
The invoice email carries a pay link for their portion only. The money goes to your bank account, not ours.
17:30
You see who hasn't rebooked
Patients who finished a block, never came back and are past your recall window are listed. Tick who to invite — the invitation goes out on an approved WhatsApp template.
Diary

A week you can actually read.

Colour-coded per therapist, with today's column marked and every booking legible — short sessions included, because a 30-minute block that cuts its own text in half is no use to anyone.

Group classes book as one slot with a roster and a capacity — and every attendee is invoiced separately.
Double-bookings can't happen — conflicts and buffers are checked as you drag.
Patients book themselves on a public page that only offers slots you're genuinely free for.
Recurring series, waitlist and no-show tracking are part of the diary, not add-ons.

Billing

Invoices built to be claimed.

Priced to the correct physio or biokinetics tariff for the patient's scheme, coded with ICD-10, and stamped with the practitioner who actually did the treating.

Patients pay online
A card link on the invoice, the WhatsApp summary and every overdue reminder. It charges the patient's portion only — a fully-claimed invoice gets no button at all.
Money lands in your account
You connect your own payment credentials. We never hold your funds, never see a card, and take no cut of what patients pay you.
Chasing happens on its own
Overdue invoices escalate over three levels on email and WhatsApp. The list is sorted by age, and anything past 30 days turns red.
Bring your numbering with you
Keep the invoice sequence you already use — your prefix, your next number, and an optional reset every January.
ClinicalAssessment through to discharge

From the first assessment to the discharge report.

Most practice software in this market handles the money and stops at the treatment-room door. Practices who want to prescribe exercise and track outcomes usually end up paying a second subscription for it — commonly a few hundred rand a month on top. In Practi-Cal that work is part of the patient record, not a separate login you copy between.

app.practi-cal.co.za/patients
Patient overview showing next appointment, balance, outcome scores and adherence

Next and last appointment, what they owe, their latest score on every questionnaire with the direction of travel, home-programme adherence and recent notes. Green means the patient is improving on that measure — which on a pain scale is a falling number.

app.practi-cal.co.za/evaluations
Evaluations tab showing outcome measure trends over time

Lysholm, IKDC, SPADI, PRWE, HAGOS, FAAM, Brief-IPQ and more — 24 published public-domain instruments plus six of our own, each clearly labelled so you always know which you're using. Scoring runs on the server against the published rules, including reversals, subscales and proration.

app.practi-cal.co.za/patients
Programme adherence showing 60 percent of prescribed days and pain trending down

Adherence over a rolling 28 days, streaks counted over scheduled days only, and per-exercise completion sorted worst-first. A patient who has never logged anything reads as "no data" — never 0% — because someone doing every exercise without using the link would otherwise look identical to someone doing nothing.

app.practi-cal.co.za/exercises
Exercise library grouped by body region with filters

Filter by muscle, joint, equipment or component, star what you use weekly, and upload your own demonstrations — the ones where you say it the way your patients understand it.

app.practi-cal.co.za/patients
Patient timeline merging sessions, notes, evaluations, invoices and documents

Sessions, notes, evaluations, questionnaires, invoices and documents in one stream, filterable by type. Useful when a patient returns after eighteen months and you need the whole story before they sit down.

See it against your own caseload.

Import your patient list and run a real week through it before you decide. Nothing to install, and no card up front.

Between visits

What the patient gets. No app store.

A link or a QR code opens their programme on any phone — one exercise per card, with the video, the sets and reps, and your note about what it should feel like. They log pain and fatigue when they're done, and it lands on their record before their next visit.

Questionnaires arrive as a link and score themselves on submission.
Intake forms are filled in before the first visit, photos and consent included.
Reprint a QR whenever you like — the old one dies the moment you do.
Pain logged at 7 or above is flagged red on your dashboard.
app.practi-cal.co.za/reports
Reports showing revenue per therapist, no-show rate and patient growth
Reporting

Numbers you'd actually act on.

Revenue per therapist, top patients, no-show rate, busiest days, where your referrals come from, and how the practice has grown year on year.

Therapist commission
Percentage or a fixed amount per session, on a billed or collected basis, calculated on the amount excluding VAT. Anything that can't be traced to a practitioner is reported separately, so the totals reconcile.
Referrer reports
A branded PDF that opens with your impression, prognosis and plan — the three things referring doctors rank highest — with your HPCSA number and signature block at the foot.
The rest of it

Things that don't photograph well.

Plenty of what keeps a practice running never shows up in a screenshot. A short version — there's more inside.

Local

Built around how SA practices actually work.

A lot of the software sold into this market was designed for another country's health system and adapted afterwards. The details below are small on their own. Together they decide whether a claim goes through, whether a referral letter is accepted, and whether the numbers on a report mean anything for the patient in front of you.

Waist thresholds that fit SA patients
The Middle-aged Sowetan Cohort gives 96.8 cm for men and 91.8 cm for women. The international 80 cm women's cut-off has a specificity of 0.11 in that population — it flags almost everyone. We report both, labelled, and never quietly apply European numbers to SA patients.
Tariffs for both disciplines
Biokinetics rates loaded for 58 schemes, physiotherapy on GEMS, and the search follows the patient's own scheme rather than making you remember it.
Diagnosis codes on the copy patients claim with
In South Africa a patient routinely pays and claims it back by forwarding the emailed invoice. Without ICD-10 codes on that email, the claim is rejected — so they're on it.
HPCSA on your correspondence
Registration number, qualifications and a signature block on every referrer report, because a clinical letter without them isn't finished.
Your data stays in the country
Hosted in South Africa, encrypted at rest, and handled as the special personal information that health records legally are.
Where we differ

The rehab layer, or another subscription.

Practice software in this market bills well and stops there. If you want to prescribe exercise and track outcomes, you generally buy a second product and copy between them.

Claims switching is the one thing the incumbents do that we don't — worth knowing before you switch. Practi-Cal produces claim-ready invoices with the correct tariff, ICD-10 codes and treating practitioner, which you or the patient submit. Moving across

An afternoon, not a project.

Nothing here needs a consultant, and nothing locks you in afterwards.

See it working before you import
One click loads four sample patients with a month of diary, invoices, notes and a home programme to click through. They're marked as samples, they can't be messaged, and they're removed in one click.
Bring your patient list
Upload a CSV or Excel file. Column names are matched for you, so "Cell", "Mobile" and "Contact number" all land in the right place.
Keep your invoice numbers
Carry on from where your old system stopped, with your prefix and padding intact.
Leave whenever you want
One click exports every patient, invoice, booking, note, measurement and evaluation as CSV. It's never restricted by plan, and it works even if your subscription has lapsed.

Questions worth asking.

Do my patients need to download anything?
No. They open a link or scan a QR code, and their programme, questionnaire or invoice opens in the phone browser they already have. Nothing to install, no account to create.
Can Practi-Cal submit claims to medical aids?
Not yet — this is the one thing the established SA systems do that we don't. What Practi-Cal produces is a claim-ready invoice with the correct tariff, ICD-10 codes and the treating practitioner named, which you or the patient submits. Most of our practices have patients claim back by forwarding the emailed invoice.
Are the outcome questionnaires validated?
Twenty-four of them are published, public-domain instruments and are scored against their published rules. Six are our own, and they're labelled in-house everywhere they appear — we don't describe those as validated outcome measures, because they haven't been through that process.
Where does the money go when a patient pays online?
Into your bank account. You connect your own payment gateway credentials, the checkout is hosted by the gateway, and Practi-Cal never holds your funds or sees a card. We take no percentage of what your patients pay you.
What happens to my records if I stop paying?
Nothing is deleted, and the export stays available. You can download every patient, invoice, booking, note and evaluation as CSV at any time, including after a subscription lapses. Holding records hostage isn't something we're willing to do.
Is my patient data safe?
It's hosted in South Africa and encrypted, with SA ID and medical-aid numbers encrypted individually and masked to the last four digits. Every clinical view, edit and export is written to an audit log, and backups run nightly and are stored off-server. We're POPIA and PAIA aligned and HPCSA compliant.
How long does switching actually take?
Most practices import their list, set up their letterhead and take their first booking the same afternoon. There's a setup checklist on the dashboard that works out what's still missing from your real data rather than asking you to tick boxes.

Try it on your own patients.

A free trial on full Premium features, no card, and an export button on day one if it isn't for you.
